AIS 009 - Accounts Payable (A/P)
A/P Invoices
You use this A/P Invoices when you make a payment for operational expenses.
You can enter here to arrange payment or go to Banking directly and write
a check before the due date.
- Click New and press F2 to select a Vendor ID enter information
- Click Save
A/P Balance
You can see the entire balance form a vendor here.
- Click New and enter vendor ID.
Type the period and press Enter
Pre Payments
When you are prepaying for a future purchase, enter the amount here to make
a check. Or you can select Audbt to wire transfer to the vendor's bank.
- Click New and select Pay type. Press Enter
- Press F2 to select a bank and same for the Vendor ID (Comp ID)
- After having entered amount, click Save
Payments
All payments made to vendors must enter here.
- Click New and select Vendor ID
- Select Pay type and press Enter
CHECK: if you are going to mail the check.
AUDBT: if you are going to wire transfer to vendor's bank.
DEPOSIT if it's from A/P prepayment
DISC: if the vendor gives a discount after the invoice was sent.
- Select Bank ID and enter check amount
- Click Payment to apply money to invoices
- Or click Auto to apply money automatically to the oldest invoice.
This payment made will automatically update G/L.
View/ Void Payments
- Click New and select Vendor ID
- Type dates in Period and press Enter
- Double click the reference number and a list of invoices will show up on
the right table
- Double click an invoice number and click Void. You need an authorization
code to void a payment
- Click Save before closing
View/ Reprint Checks
- Click New and select Bank ID
- When Check No. is highlighted, press F2 to select a check number
- You can view nad reprint any of the selected checks here.
