Overview
AIS Web Modules are designed for ecommerce with full integration to other
AIS modules. That means, you never enter the same information twice. With
AIS web modules you can easily manage all the conveniences that the internet
offers to your business plus the advantage of full integration to your existing
data.
There are currently five modules being developed, each one tailored to different type of users. Depending on the type of user who logs into your web site, the screens displayed will be different according to the type of user.
Other AIS client users can enjoy the compatibility of your company's data with their data, and have a greater interaction than other types of users. Your customers will have access to your products list, submit a sales order, bid for special sales items, and checking the shipping status. Your vendors can check if your company placed an order, access to inventory status of products they sell exclusively to your company if your company allows such access, access to items you need by bidding these items. You can also save on shipping costs by letting potential shipper to submit their bids. Your employees or outside salespeople can access certain information at real time so that they can verify what is the inventory status, check for the customer list, verify customer's A/R status, submit a sales order, and let outside salespeople to submit their expenses directly into your database cutting greatly the data entry time.
Online Catalog
On line products catalog can provide you with the convenience of automatically
creating, and updating your products list without even typing a single word
on your web site. You products list on web is updated automatically thru your
AIS program. That is, when you create a new item, the web site will display
the very same item on real time basis. If your price or on hand quantity changes,
then the web site information change at the very same time. With product line
ranging from few thousands to over 1o thousand, this is just the greatest
and the easiest way to show your web site without actually doing it. Products
are grouped by department, and all items belonging to the department will
be displayed. And, when the item ID is clicked, a new screen with more detailed
product information will be displayed.
Depending on the price level of the customer, AIS web will display the corresponding
price. A picture sized 300x330 pixels will also be displayed if available.

CRM
CRM stands Customer Relations Management. Its main objective is to help sales department to efficiently manage their customers to increase sales by tailoring each customer's needs differently. As new items get to your place, it also alerts salespeople to contact the potential customers for that particular item.
Customers will be able to intereact with your web site, where they can update their company information, check what items they bought in the past, their A/R status, submit a sales order, review an order, as well as track their orders. It also let the customers to find out when the products they are looking for are scheduled to become available.
Other AIS users will enjoy more adequate function than others, such as the order entered thru your company's web site will become their PO. just by clicking a button. A PO entered by AIS users thru your company's web site will also become their sales order simply clicking a button without any additional work. A product information can be transferred to other AIS user's database if your company gives the permission to do so.
Supply Chain
Your company can list thru AIS Web all items which are needed by
indicating when you need, what quantity, and what is the reoder quantity.
Your vendors can indicate which items they can provide by interacting with
your needed items. Soon your vendors submit their offers, your company can
decide which ones to accept and which ones not to accept. The AIS web program
will then create multiple Purchase Orders (PO) by vendor IDs automatically.
Your company also can provide access to certain vendors the inventory status of items sold exclusively by that particular vendor. This way the vendor can prepare a PO for you in a timely matter and advise you of your inventory status.
Shippers are also important part of distribution and wholesale business. Your company can expose its itineraries to large numbers of shippers and therefore possibly reducing your shipping costs.
Summarizing, first your company create a general PO with all items in need. Vendors submit their offers. Your company decides which ones to accept, and send POs to the respective vendors. Once POs are issued, shippers can submit their bids. Once accepted, the vendor can send merchandise, and send the tracking number so that your company can track the shipment. Once the merchandise is received, your inventory file is updated. All those steps can be automated so that your purchase process runs smoothly, and at same time you purchase cost is lowered.
Web Server Considerations
There are 2 ways of setting up your web server. The best way is to
setup your own web server since you have greater control of what it has to
be done. The other way is to rent a web space thru a ISP (Internet Service
Provider).
The security was given a special attention, since many customers don't feel
comfortable to connect their data server to the internet. With both hardware
and software firewalls correctly installed to your web server make it almost
impossible to any intruder to invade your web server, but some customers feel
that the only safe way is to have a 'physically" separeted web server.
AIS took this worry into consideration, and we offer 2 different settings.
One setting is to have "physically" separated web server from your
data server, and use download and upload functions to update both servers
every certain interval of time. Another setting is the direct connection which
provides convenience of everything on real time without going thru uploads
and downloads.
We believe nothing is 100% perfect, but properly set both hardware and software
firewalls are secure enough against hackers.
